Suffolk Music Teachers operates a music teaching platform connecting students with independent, self-employed music teachers.

From Students / Parents / Guardians

  • Name, email address, phone number

  • Student age / date of birth (where required)

  • Lesson bookings and attendance records

  • Communications via TutorCruncher


From Teachers

  • Name and contact details

  • Availability and lesson information

  • Proof of DBS (where applicable)

  • Insurance confirmation


Technical Data

  • IP address

  • Browser/device information

  • Cookies (see section 8)


3. How We Use Personal Data
We use personal data to:

  • Manage lesson scheduling and administration via TutorCruncher

  • Facilitate communication between students and teachers

  • Process platform/admin fees

  • Meet safeguarding and legal obligations

  • Improve our website and services


4. Lawful Basis for Processing
We process data under:

  • Contractual necessity (lesson bookings)

  • Legitimate interests (platform operation)

  • Legal obligation (safeguarding, record-keeping)

  • Consent (photography, marketing where applicable)


5. Data Sharing
We may share data with:

  • Teachers (only data necessary to deliver lessons)

  • TutorCruncher (scheduling and invoicing)

  • Payment providers (e.g. Stripe)

  • Authorities where legally required


We never sell personal data.

6. Data Retention

  • Student data is retained while lessons are active and for a reasonable period afterward

  • Financial records are retained in line with HMRC requirements

  • DBS and safeguarding records retained only as long as necessary

  • Restrict or object to processing

  • Data portability
